TERMS & CONDITIONS
By agreeing to work with me, Saskia Robertson of Edinburgh Letters, you are agreeing to work with my terms and conditions, which are as follows:
Payment
In agreeing to work with me, a non-refundable deposit of 50% of design fee must be made before begins. The remaining 50%, plus printing and delivery costs is due on completion. All work will be charged via an invoice with a 28-day payment term, by bank transfer. If this isn’t possible please let me know. Any adjustments to costs will be agreed with you and made clear before a final invoice.
Cancellations
In the event that your wedding or event is cancelled or your requirements change, I’m not able to issue a refund – though please let me know if there are exceptional or unusual circumstances.
The Process
Work begins once a meeting, phone call or email exchange to discuss and settle on ideas has taken place and I have received written confirmation that you with to commission me. After this, I will begin the design process according to the timeline we have agreed. The client takes responsibility to provide accurate wording and information for me to include in stationery; I cannot accept responsibility for spelling or grammatical errors. It is also the client’s responsibility to provide information required in the time frame that requested and discussed so that delivery can be within the arranged period.
The client will receive a first digital proof of the artwork which has been entirely created for the client. Following the initial proof, the client is entitled to 3 rounds of edits. Further edits will be subject to my hourly rate of £35.
Printing will commence when I have sign off from you the client on the final proof. By agreeing the artwork, the client is taking responsibility that everything is correct and accurate. If any mistakes are spotted after artwork has gone to print, edits and re-prints will be charged in the final invoice.
Speed Fee
Work required ahead of a usual lead-time will be subject to a 25% rush fee – please contact me directly if you need work completed with less than 6 weeks to the date anything is required.
Printing
Please remember that digital proofs may not exactly match the final colour print; different computer, tablet and phone screens can show colours differently. The colours will be true to the original, bespoke artwork.
Copyright
I hold copyright for all artwork and designs. Please note: finished art work remains the legal copyright of Edinburgh Letters. It is supplied only for the purpose for which it has been requested.
Should the client, or any third party wish to use the art work for any other purpose other than that agreed, it will be necessary to obtain the permission of Edinburgh Letters. A charge for further use (an image release fee) will normally be incurred.
Eg: A contract to produce artwork for wedding invitations applies only to wedding invitations. It may not be copied for use on, for instance, menus or cards or for any other purpose without permission. Edinburgh Letters reserves the right to charge for unlicensed use of art work.
Acceptance of a contract constitutes acceptance of the above. client, or any third party, are not able to re-use, copy or reproduce any designs from the proofs sent to you.
Images
Edinburgh Letters reserves the right to photograph finished invitations and bespoke commissions for my own marketing purposes, website and social media. Contact details will be removed. If you would rather I do not share your designs please let me know.
Delivery
I use Royal Mail Special Delivery or DPD to post all orders. This is tracked and insured and a signature will be required on delivery. I cannot accept responsibility for anything that is lost in the post or delayed by circumstances outside of my control. I can send parcels internationally but these may be subject to customs charges that will be at your own cost and prior agreement.
Names and addresses
If you are supplying names and addresses to me for invitation or envelope addressing, please ensure that all titles, names, addresses and etiquette are correct. I cannot accept responsibility for errors in files supplied to me; re-writes will be the cost of the client and billed on the final invoice. I ask for surplus 15% invitations and envelopes (place cards or whatever the specific item to be personalised is) This is to allow for mistakes, as I am only human and the process is hand done. Please factor this into your final print numbers. Edinburgh Letters is not responsible for envelopes with hand lettering that do not make it to their destination.
Data Protection
All details received from you are confidential and are only be used by me and my printers- when required. Data is kept on file for six months and then deleted. Invoices are stored for 7 years as per tax requirements. Please see my privacy policy for more information if required.
